Who Needs Events Crew Accommodation

Production crews: The backbone of any touring show or festival. Riggers, stage builders, lighting technicians, sound engineers, video crew and production managers travel with the show from venue to venue. Advance crews arrive days before the show, production crew work through the night, and get-out teams pack down after the final performance.

AV and technical contractors: Audio, video and lighting hire companies supply crews to touring shows, corporate events and permanent installations. These teams are often on the road for weeks at a time, covering multiple venues per week.

Festival and outdoor event staff: Glastonbury, Download, Creamfields and hundreds of smaller festivals deploy large workforces for set-up, operation and break-down. Many workers need accommodation within reach of rural festival sites that are miles from any hotel.

Corporate event production: Conference builds, exhibition stand construction, award ceremony production and product launch events all use specialist crews who work in cities across the UK. Corporate crews often need accommodation near convention centres, hotels and exhibition halls.

Catering and hospitality crews: Large events require specialist catering infrastructure. Mobile bar and catering crews, hospitality staffing companies, and temporary bar teams all need accommodation near event venues.

The Challenges of Events Crew Accommodation

Short booking windows: Events are booked at short notice. A tour routing decision made in December means an advance crew needs accommodation in six different cities in February. You need an accommodation partner who can confirm availability fast, not one who needs six weeks' notice.

Irregular hours: Get-in day for a major arena show might run from 8am to 2am. Get-out after the final night can run until 4am. Your crew needs accommodation with full 24/7 access and no noise restrictions. A hotel with a 10pm bar close and a gym that opens at 7am is not events crew accommodation.

Proximity to venues: A crew staying 40 minutes from the arena wastes an hour a day in transit at a point in the show when time is the scarcest resource. Proximity to the venue or festival site is the priority, not proximity to restaurants or tourist attractions.

Large group coordination: You might need accommodation for 15 production crew, 8 AV technicians and 6 catering staff, all at different properties, with different arrival times and different get-out schedules. A single point of contact who manages all the bookings is essential.

Festival site proximity: Rural festivals present an acute challenge. There is no Travelodge next to a field in Somerset or Oxfordshire. Accommodation within a 20-30 minute drive of the festival site is often the only viable option, and during peak festival season in June-August, demand exceeds supply significantly.

What Events Crews Need in Accommodation

24/7 access, no exceptions: Key safe or keypad entry. No front desk check-in, no noise curfews that prevent 3am returns after a get-out.

Laundry facilities: Production crews work physically demanding jobs. Access to a washing machine in the property saves a fortune in laundrette bills across a long tour.

Full kitchen: Craft services exist on set, but crews need a real kitchen for meals before and after the show day. A property with a well-equipped kitchen saves £20-30 per person per day in food costs.

Broadband: Tour managers, production managers and technical leads need reliable internet for call sheets, schedules, equipment manifests and client communications.

Parking: Crew cars, transit vans and, in some cases, small production vehicles need parking. Confirm parking before booking, city centre venues often have limited parking options.

Flexible check-in and check-out: Shows run to their own schedule. Accommodation needs to flex with advance crew arriving early and get-out crew leaving late.

Festival Season Accommodation Strategy

Book early: The UK festival calendar is published well in advance. Glastonbury, Download, Reading and Leeds, Latitude and the other major events are on the calendar years ahead. Accommodation near these events fills fast, not just for attendees, but for crew too.

Work by zone, not by postcode: A festival site may have a single postcode but draw workers from multiple towns. Book accommodation in a ring around the site rather than a single location to maximise supply.

Plan for the full crew rotation: Advance crew, show crew and get-out crew often have different dates. A production manager should plan accommodation for all three phases when making the initial booking, even if exact get-out dates are TBC.

Consider the build week separately: Festival build weeks are often more intensive than show week itself, longer hours, larger crew count. Accommodation for the build crew (often bigger than the show crew) needs planning early.
